Training Plan

A training plan is the year written down: these courses, this many people, this much money. It is the document the training manager takes to management for approval, and the thing every session is later measured against.

What it is for​

The plan sits between the demand and the delivery. Needs tell you what people are asking for. The plan is what the company has agreed to do about it, with a cost against each line.

The plan is deliberately a plain document. It does not pull the needs in for you and it does not create sessions. You read the open needs, decide what the company will actually run, and type it here with the numbers you will be held to. That is why the status matters: a plan in draft is still an argument, a plan approved is a commitment.

What it takes from the screen before it​

The demand on Training Need. You read it and decide. Nothing is copied across automatically, so the plan is the training manager's judgement, not a total.

What the next screen takes from it​

Training Schedule takes nothing from the plan automatically either. The plan is the authority to run the session and the budget to run it within. When you schedule the forklift course for twelve men at a cost of 8,000 rupees each, it is the plan line that says twelve men and 96,000 rupees were agreed.

Training Status values:

  • DFT Draft. Still being worked on. Change the numbers freely.
  • APR Approved. Management has agreed it. Treat the numbers as the budget from here on.
  • CLD Closed. The period is over, or the plan has been superseded.

How to configure it​

  1. Open Training Need and list the open needs. That is the demand you are planning against.
  2. Open Training Plan. Date 20 January 2026, Status Draft, Requested By the training manager, Notes naming the period the plan covers.
  3. Add one line per course: Course Forklift Operation and Safety, No. of Participants 12, Training Cost 8000, Training Cost Total 96000, Priority High.
  4. For a bought-in course, name the Training Vendor on the line, for example Quality Systems Consultants for ISO internal audit, 6 participants, 25,000 rupees each, 150,000 total.
  5. Check that each Training Cost Total agrees with its own cost and participant count. The screen will not catch an error here.
  6. Save while in Draft. When management agrees, change Training Status to Approved and save again.
  7. Now schedule the sessions on Training Schedule, course by course.

Scenarios​

Management wants to see what next year's training will cost before approving anything​

Build the plan in Draft with a line per course and a total per line. The sum of the line totals is the number management is approving. Keep it in Draft until they say yes, then move it to Approved so everybody can see the argument is settled.

Half the courses are in-house and cost us nothing out of pocket​

Put them on the plan anyway, with a Training Cost Total of zero and no vendor. The plan is the list of what will be run, not only what will be paid for. A client who leaves the free courses off the plan loses the ability to say how much training the company actually delivered.

We approved twelve forklift seats and the warehouse now wants sixteen​

Do not quietly change an approved plan. Either run the sixteen and let the variance show against the plan line, or raise the plan back to Draft, change the line to sixteen and have management approve it again. Which of the two is right is the client's rule, not the system's, because the plan does not block a session that exceeds it.

What it is connected to​

  • Training Need is the demand the plan answers.
  • Training Course supplies the course on each line.
  • Training Vendor supplies the provider on the header and on each line.
  • Training Schedule is where the plan is actually carried out. The sessions are not created from the plan, so somebody has to work through it.

If something looks wrong​

  • "It will not save" - the plan number is already in use. Every plan number must be unique.
  • "The totals do not add up" - the cost total is typed, not calculated. Check each line against its own participant count.
  • "An approved plan still lets me change the figures" - it does, the status is a statement, not a lock. If the client needs it locked, control it by who is allowed to open the screen.
  • "Sessions were run that were never on the plan" - nothing stops that. The plan does not gate the schedule.
