Comp Off Request
He worked a Sunday and wants the day back rather than the money. This screen claims it. The worked day is checked against his actual attendance, the hours are turned into a day or a half day, and the credit lands in his comp off leave balance with its own expiry.
What it is for
A rest day worked can be settled two ways. Pay for it, which is an Overtime Request. Give the day back, which is this screen. Both for the same day is paying twice, so decide which the client does.
Nothing here is taken on trust. For every day claimed, the screen reads what that day actually recorded: whether it was a weekend, a public holiday or an ordinary working day, and how many hours were worked on it. The day type is not typed by the person claiming, and neither are the hours. If he claims a Sunday he did not work, there is nothing to claim and the screen says so.
How much a day of work earns is simple on purpose. At or above a standard day, one day of comp off. At or above half a standard day, half a day. Below that, nothing, and the request is refused rather than quietly credited with a fraction. The standard day comes from the Standard Day Hours on the comp off Leave Type, falling back to the length of the shift he was due on.
Three rules on that leave type decide what can be claimed at all, and all three are worth setting before a client starts using the screen.
Which days earn comp off. A client who means rest days and public holidays should say so on the leave type, otherwise a man who stays late on a Tuesday can claim a comp off day for it.
The claim window. How long after the day the claim may still be made. Without one, a man can claim in December for a Sunday he worked in February.
The expiry. Each earned day expires on its own, counted from the day worked, so a day earned in March and a day earned in September do not lapse together. That lapsing happens by itself and nobody has to run anything.
A day already claimed on another request is refused, so the same Sunday cannot be turned into two days off.

Worked days
One line per day being claimed. Only the date is typed, and everything else is read from what the day actually recorded.

How to configure it
- On the Leave Type screen, tick Comp Off Leave on exactly one type, and fill Comp-off Expiry (Days), Comp-off Claim Window (Days), Comp-off Eligible Day Types and Standard Day Hours. Nothing on this screen works properly until those are set.
- Name that type as the Comp Off Leave Type on each Leave Group that gets comp off.
- Decide with the client whether a rest day is paid or given back, and tell the supervisors. Both is paying twice.
- Set up the approval so a claim reaches a manager.
- The employee opens the screen, picks himself, picks the comp off Leave Type, and adds one line per day worked with the Worked Date.
- He saves. The day type, the hours and the days earned fill in from what the day recorded, and he can see whether the claim is what he expected.
- He sends it for approval. On approval the credit lands in his balance, one credit per worked day, each with its own expiry.
- He then takes the day off like any other leave, through Employee Request Leave against the comp off type.
Scenarios
"Men who work a Sunday should get a day back, but they must claim within the month"
Comp-off Claim Window 30 on the leave type. A claim for a Sunday worked two months ago is then refused by the screen rather than argued about in the HR office.
"He worked four hours on a holiday"
Against a nine hour standard day, four hours is under half and earns nothing, and the screen says so with the figures in the message. At four and a half or more it earns half a day. If the client thinks four hours should earn a half day, lower Standard Day Hours on the leave type, and understand that it lowers the bar for a full day too.
"He stayed late on a Tuesday and is claiming a day off"
If the leave type's eligible day types are the weekend and the public holiday, the claim is refused and the right document is an Overtime Request. If the client really does want weekday overtime convertible into days off, add the workday to the eligible day types and expect a great many claims.
"He claimed the same Sunday twice"
The second claim is refused. A worked day can only be on one comp off request.
"His comp off days disappeared"
They expired. Each earned day lapses on its own expiry counted from the day worked, so a day earned in March with a ninety day expiry is gone in June. If the client wants them to live longer, change Comp-off Expiry (Days) on the leave type, which only affects days earned from then on.
What it is connected to
- The Leave Type with Comp Off Leave ticked carries the expiry, the claim window, the eligible day types and the standard day length. Every rule on this screen comes from there.
- The Leave Group names which comp off type a class of employee uses.
- Employee Attandance is what the worked day is checked against, so a day with no attendance cannot be claimed.
- The Calendar is what makes a day a weekend or a public holiday in the first place.
- An approved claim becomes a comp off leave balance, taken through Employee Request Leave and recorded on Employee Leaves.
- An Overtime Request is the paid alternative for the same day. Use one or the other.
If something looks wrong
- "It says to add at least one worked day" - the request has no lines. The header alone claims nothing.
- "It says the leave type is not a comp off type" - Comp Off Leave is not ticked on it. Only a ticked type may be used here.
- "It says the day is outside the claim window" - too long has passed since it was worked. That is the rule working.
- "It says the day has not been worked yet" - the Worked Date is in the future.
- "It says the day has already been claimed on another request" - it has. Find the other request.
- "It says no attendance was found for that day" - the man has no attendance record for it, usually because he has no calendar or no shift on that date.
- "It says the day is a workday and the type earns comp off on weekends only" - the eligible day types on the leave type exclude it.
- "It says the hours are under half a standard day" - they are, so nothing is earned. Check Standard Day Hours on the leave type before changing anything else.
- "It says a standard day length is not known" - Standard Day Hours is empty on the leave type and the man had no shift length on that date. Fill it.
