Employee Tax Payment
Employee Tax Payment is where the deposit of a man's deducted tax is recorded. The tax amounts come up by themselves, period by period, and you fill in when they were deposited, where, and under which receipt number.
What it is for
Every payroll run records, for each man, the tax it took from him that period and the taxable income it took it on. That record is what the next period's tax calculation reads, and it is also what a tax return is built from.
What the run cannot know is what the company then did with the money. This screen is where that is recorded: the date the deduction was deposited, the receipt number, and the city it was deposited in. When a man asks for his tax certificate, or an auditor asks for the proof that a deduction reached the authority, this is the screen that answers.
It fills itself. Pick the man and a date range, and every tax amount recorded for him in that range comes up as a line, one per payroll period, plus any line from a Tax Adjustment raised in the same range. You do not type the amounts, and you should not change them. You type the four deposit columns, and on save they are written back onto the tax record itself, so the deposit details travel with the amount and not just with this document.
Note that the lines come up only while the document has none. Once it has been saved with lines on it, widening the date range does not pull more in. For a new month, raise a new document.

How to configure it
- Make sure the City list carries the cities the client deposits in.
- Run and post the payroll for the period first. Nothing comes up here until the run has recorded the tax.
- Deposit the tax and get the receipt.
- Open the screen, pick the employee and set Date From and Date To to cover the period or periods being deposited.
- Let the lines come up. Check the amounts against the payroll before you touch anything.
- Fill the Deposit Date, Reference no, City and CPR on each line. For a single deposit covering several periods, put the same four values on each line.
- Save. The deposit details are written onto the tax record as well as onto this document.
Scenarios
The whole month's tax went in on one challan
The deposit is one payment for five hundred men, but the record is per man, because that is how a tax certificate has to be produced. Raise one document per employee for the month and put the same deposit date, reference, city and CPR on the line. It is repetitive work, and it is the work that makes the certificates issuable.
A man asks for his tax certificate for the year
Open the screen for him with the date range set to the whole tax year. The lines show each period's tax, the income it was taken on, and where each deduction was deposited. A line with an empty Deposit Date is a period whose deposit was never recorded, which is worth knowing before the certificate goes out.
The tax deducted in one period was wrong
Do not change the amount here. The amounts belong to the payroll run that produced them. Raise a Tax Adjustment for the correction, which adds its own line to his tax record for the year and is picked up by the next run's calculation.
A man leaves in the middle of the year
His tax record stops where his last payroll was. Record the deposit of that last deduction here as normal. Final Settlement does not calculate tax, so if the client owes or is owed tax on the settlement it has to be dealt with as a Tax Adjustment and a line on the settlement.

If something looks wrong
- "No lines come up" - either no payroll has been run for that man in the date range, or the document already has lines on it from an earlier save.
- "The tax amount on a line is wrong" - it is the figure the run produced. Correct it with a Tax Adjustment, not by typing over it here.
- "We widened the dates and nothing new appeared" - lines are brought in only while the document has none. Raise a new document.
- "A period shows no deposit details" - that deposit was never recorded. Record it before issuing a certificate.
