Applicant Status Stage
Applicant Status Stage is not a list of its own. It is the record that pairs a status from Screen Status with a stage from Screen Stage and gives each pair a step number. It differs from the other three screens in that it is the one the Screening screen actually reads.
What it is for
Two separate lists of words are not much use on their own. What a client actually wants to say is "CV Review, In Progress is step one, CV Review, Passed is step two, Phone Screen, In Progress is step three". This screen writes those sentences down, one per line.
Both coded fields on Recruitment Applicant Screening, Screening Status and Screening Stage, read their choices from the lines you enter here. That is why the other two screens exist, and why neither of them appears directly on the Screening screen.
The step number is the order the client walks the pairs in. It is there so a pairing can be read as a sequence rather than an unordered pile.
Usually one record holds the whole walk. There is no need for a second unless the client runs two genuinely different screening routines.
Every field, in plain words
Header
| Field | What it means | What to put in it | Notes |
|---|---|---|---|
| Transaction | The reference of this pairing record | ASS-001 | Required. Must be unique. One record normally holds every pairing the client uses. |
Applicant Status Stage lines
| Field | What it means | What to put in it | Notes |
|---|---|---|---|
| Screen Status | The state half of the pair | Pick it from the list, for example In Progress | Comes from Screen Status. |
| Screen Stage | The point half of the pair | Pick it from the list, for example CV Review | Comes from Screen Stage. |
| Steps | Where this pair sits in the screening order | 1 | Number the lines in the order the client walks them. It does not stop anybody picking a pair out of order, it is there so the sequence can be read. |
How to configure it
- Fill Screen Stage and Screen Status first. Neither column here will offer anything until you do.
- Open Applicant Status Stage and give the record a reference, for example ASS-001.
- Add one line per pair the client uses. For a four stage walk with three states that is not twelve lines, it is the handful that actually occur.
- Number the Steps column in the order the client walks the pairs.
- Save. The pairs are now offered on the Screening screen.
Scenarios
"We sift the CV, we phone them, and then the department head sees them"
Three stages and three states, paired as the client would say them out loud:
| Steps | Screen Stage | Screen Status |
|---|---|---|
| 1 | CV Review | In Progress |
| 2 | CV Review | Passed |
| 3 | Phone Screen | In Progress |
| 4 | Phone Screen | Passed |
| 5 | Department Interview | In Progress |
| 6 | Department Interview | Passed |
Add a Rejected pairing for each stage as well, so a candidate can be stopped wherever he stops.
"Office hires and factory hires are screened completely differently"
Two records. The office record pairs CV Review and Phone Screen. The factory record pairs Trade Test and Medical. Lines from both records are offered on the Screening screen, so the HR officer picks the pair that belongs to the role in front of him.
What it is connected to
- Screen Stage and Screen Status supply the two columns.
- Recruitment Applicant Screening reads both of its coded fields from these lines.
- Screen Rate is not involved. It is read by neither this screen nor any other.
If something looks wrong
- "The Status and Stage lists on the Screening screen are empty" - no lines exist here. The Screening screen reads this record, not the two list screens.
- "A stage I added is not offered" - it exists on Screen Stage but has not been put on a line here.
- "The steps are out of order on screen" - the Steps numbers were entered out of sequence. Renumber them.
