Employee Recruiter

Employee Recruiter is the list of who does the recruiting. Each record points either at one of your own employees or at an outside agency, so a vacancy can name the person or firm responsible for filling it.

What it is for​

A vacancy needs an owner. Without one, a vacancy that has been open eight weeks has nobody to answer for it, and that is the single most common complaint a client brings to the recruitment module.

Recruiters come in two kinds and this screen handles both. An internal recruiter is one of your own HR staff, and the record points at his employee record. An external recruiter is a placement agency, and the record points at the agency's vendor record. Either way, Recruitment Project can name him in its Recruiter field.

Keeping them in one list rather than two means a vacancy's owner field does not have to care which kind it is. A client who starts with in-house hiring and later puts the factory trades out to an agency changes the recruiter on the vacancy, nothing else.

Every field, in plain words​

Base On takes one of two values:

  • EMP Employee. The recruiter is one of your own staff and Base On Value is his employee record. Use this for the HR officers who do the hiring.
  • VEN Vendor. The recruiter is an outside placement agency and Base On Value is the agency's vendor record. Use this when the vacancy has been handed to a third party.

How to configure it​

  1. Make sure the person exists on Employee Basic Information, or the agency exists as a vendor, before you start. Base On Value only offers records that already exist.
  2. Open Employee Recruiter and give the record a reference and a name, for example REC-SHAHID and Shahid Mehmood, HR Officer.
  3. Set Base On to EMP for your own staff or VEN for an agency.
  4. Pick the Base On Value. The name beside it fills itself.
  5. Save, and repeat for each recruiter and agency. Two or three records cover a 500 person manufacturer.
  6. Name the recruiter on each vacancy on Recruitment Project.

Scenarios​

"Our HR officer handles office hires and an agency finds us machine operators"​

Two records. One with Base On EMP pointing at the HR officer's employee record, one with Base On VEN pointing at the agency's vendor record. Set the office vacancies' Recruiter to the first and the machine operator vacancies' to the second. The vacancy then reports its own owner and nobody has to remember which jobs went out.

"Our recruiter has left the company"​

Add a record for his replacement and change the Recruiter on the open vacancies. Leave the old record alone. Vacancies that were filled under the old recruiter keep pointing at him, which is what you want when somebody later asks who hired a given employee.

What it is connected to​

  • Employee Basic Information supplies the employee behind an EMP recruiter.
  • Recruitment Project names a recruiter on each vacancy, and that is the only screen in this module that reads this list.
  • An approved Recruitment Requisition creates its project automatically, and it fills the project's Recruiter with the person who raised the requisition rather than with a recruiter from this list. If the client wants the vacancy owned by a recruiter, somebody has to change it on the project after it is created.

If something looks wrong​

  • "Base On Value will not offer the person I want" - he has no employee record yet, or Base On is set to VEN while you are looking for an employee.
  • "The Recruiter list on a vacancy is empty" - no records have been created here yet.
  • "The automatically created vacancy shows the wrong recruiter" - it was created from an approved requisition and carries the requisition's Request By. Change it on the vacancy.
