Recruitment Applicant Screening

A screening is the written record of somebody actually looking at a candidate before an interview is arranged: who read his file, what they thought, whether a follow-up is needed and what the next action is. One screening per candidate, so it is the file a panel reads rather than a running log.

What it is for​

Between a CV arriving and an interview being arranged, somebody reads the CV. At most clients that reading leaves no trace, which is why the same candidate gets read three times by three people and why nobody can say who decided he was not worth seeing. This screen is where that reading is written down.

It opens with the candidate and a status and stage pair, and the Screening Details tab underneath takes one line per person who looked at him, with their comments, whether a follow-up is needed and what the next action is. The rest of the screen is a copy of the candidate's own details, so the person screening him has everything in front of him without opening another screen.

A candidate can be screened once. The Applicant list on this screen does not offer anybody who already has a screening record, which keeps the sift to one file per candidate rather than one per vacancy. If the same man is being considered for two vacancies, add a second line on the Screening Details tab rather than hunting for a second screening record.

The status and the stage are the two halves of a pair set up on Applicant Status Stage. Neither list reads directly from Screen Stage or Screen Status, so if either field is empty it is the pairing that is missing and not the lists.

The detail tabs​

Professional Experiences, Education, Skills, Courses, Certifications, Identification, Address and Contact all take the same columns as they do on Recruitment Applicant, and mean the same things. They are here so the screener can fill in what the CV says while he is reading it. The identification lines still demand an authority, a type and a number once a line is started, and the address and contact lines still demand a name and a number.

How to configure it​

  1. Make sure the candidate is on Recruitment Applicant and that the status and stage pairs exist on Applicant Status Stage. Neither of the two coded fields will offer anything otherwise.
  2. Open Recruitment Applicant Screening, give it a reference and set the Screening Date.
  3. Pick the Applicant. If he is not in the list he has already been screened.
  4. Set Screening Status and Screening Stage to where the sift has actually got to.
  5. Go to Screening Details and add a line for the person who read his file, with his comments. Tick Follow-Up Required and fill Next Action if anything has to be chased.
  6. Fill in what the CV tells you on the Personal Information and Professional Information tabs and the detail tabs, as far as the client wants it recorded.
  7. Write the verdict in Notes, as a conclusion. Save.
  8. If he is worth seeing, put him on the Applications Pipeline and arrange the interview on Interview Evaluation.

Scenarios​

"Three people read the same CV and all three had an opinion"​

One screening record, three lines on the Screening Details tab, each with its own date and reviewer. The Notes field at the top holds the conclusion the three of them came to. This is the shape the screen is built for, and it is why there is one screening per candidate rather than one per reviewer.

"The same man is being considered for two of our vacancies"​

He still gets one screening record. Add a second line on Screening Details for the second vacancy's reviewer and say which vacancy in the comments. The two vacancies are kept apart on the Applications Pipeline and on his applications, not here.

"We asked him for an experience letter and nobody chased it"​

That is what Follow-Up Required and Next Action are for. Tick the box, write what is wanted, and the screening record itself carries the chase. A ticked box with a blank Next Action tells the next person nothing.

"Our factory sift and our office sift are nothing alike"​

Set up two sets of pairs on Applicant Status Stage, one walking Trade Test and Medical and one walking CV Review and Phone Screen. Both sets are offered on this screen, so the screener picks the pair that fits the role in front of him.

What it is connected to​

If something looks wrong​

  • "The candidate I want is not in the Applicant list" - he already has a screening record. One per candidate.
  • "The Screening Status and Screening Stage lists are empty" - no pairs exist on Applicant Status Stage. Filling Screen Stage and Screen Status is not enough on its own.
  • "The First Name field shows his full name after we saved" - that is how the screen behaves in the current build. His candidate record is unaffected, and the Last Name field still holds the family name.
  • "Somebody has been screened twice" - two records were made before the restriction was reached, or the candidate exists twice on Recruitment Applicant. Check for a duplicate candidate.
