Certification
Certification records the certificates an organisation holds: which kind of certificate, its number, who issued it, when it was issued and when it runs out. One record covers one party - your own company, a vendor, a customer - and the certificates are lines inside it.
What it is for
A certificate that has quietly expired is found during an audit, which is the worst possible moment. Keeping them in one place with their expiry dates on them is the point of this screen.
The record is addressed in two steps. First you say what kind of party it is for - your own company, a vendor, a customer - and then you pick the actual party. After that, each certificate is a line.
Be clear about what this screen is not. It does not hold the certificates your staff hold. Those belong on Employee Certification in People Directory, set up through its own Certification list. This screen is about organisations.
Two honest limits are worth knowing before the client builds a process on it:
- Nothing on a line is required except the group. You can save a certificate with no number and no dates, so the discipline has to come from the people entering it.
- Nothing else in PeopleNest reads these rows. There is no expiry reminder driven from here. If the client wants to be told before a certificate lapses, set that up as a date based rule on Notification Rule, or keep the review in a calendar.

Certification
One line per certificate held.

How to configure it
- Set up Certification Group and Certification Authority first. Both lists are picked here.
- Open Certification and create a record. Pick Legal Entity in Certification for, then your company in Certification for Number.
- Add one line per certificate: the group, the number, the issuer, the issue date and the expiry date.
- Save.
- Create a separate record for each vendor or customer whose certificates the client wants to hold.
- Put a reminder in place outside this screen, because nothing here warns you about an expiry.
Scenarios
"The buyer asked for our certificates and we had to search three cupboards"
One record for the company, one line per certificate, with the numbers and the dates. It becomes a list somebody can read out.
"We need to know which of our suppliers hold a current compliance certificate"
One record per vendor, with Certification for set to Vendor. The certificates then hang off the vendor rather than off your own company.
"We want to be told before a certificate lapses"
Not from this screen. Nothing here sends anything. Set up a date based rule on Notification Rule, or keep the renewal in a calendar.
"I need the forklift licences for the factory floor"
Wrong screen. Those are on Employee Certification.
What it is connected to
- Needs Certification Group for the kind and Certification Authority for the issuer.
- Addresses the party through the same kind-then-record pair that Registration uses.
- Nothing in PeopleNest reads what you record here. Treat it as a register, not as an input to anything.
- The employee equivalent is Employee Certification.
If something looks wrong
- "The save says the certification for cannot be empty" - pick the kind of party first. The second field offers nothing until you have.
- "The party list is empty" - the kind you picked has no records yet. Pick Legal Entity for your own company.
- "It let me save a certificate with no number and no dates" - it does. Only the group is required on a line.
- "No reminder came before the expiry" - none ever will from this screen. See the scenario above.
