Terms and Conditions

Terms and Conditions holds the blocks of wording a printed document carries at the top and the bottom - the small print on a purchase order, the delivery terms on a quotation. The wording is written once here and the document picks the block by name.

What it is for​

Printed documents carry standard wording nobody wants to retype: payment terms, a liability clause, a signature block. This screen keeps each block under a short name, and the document screens then offer that name in a list.

Each record has two pieces of wording, one that prints above the document body and one that prints below it. A record may use either or both.

For an HR only implementation there is nothing to do here. No PeopleNest screen offers a terms and conditions block. The screen is part of the shared Organization and Setup module. If a client wants standard wording on an HR letter, that belongs on Agreement Template, which has a letter body of its own.

How to configure it​

  1. Get the final wording from the client in writing. This prints on documents that leave the company.
  2. Open Terms and Conditions and create a new record.
  3. Type the code and a name the user will recognise in a list.
  4. Paste the wording that belongs above the document into Header, and the wording that belongs below it into Footer.
  5. Save, then print one document from the screen that uses it and read the result before the client does.

Scenarios​

"Purchase orders and sales quotations need different small print"​

Two records. PO-STD for purchasing and SQ-STD for quotations. Each document screen then offers both, and the user picks the right one.

What it is connected to​

  • Nothing in PeopleNest reads this list.
  • On the shared side it is offered by the purchasing, sales, real estate and contract document screens.
  • For HR letters and agreements, use Agreement Template.

If something looks wrong​

  • "The code will not save" - the same code already exists.
  • "The wording does not print" - the document screen has not been told which block to use. The block existing is not enough.
