BlackList
A blacklist entry says one thing: do not take this man back. It carries the date, the reason, the detail and the name of whoever decided, so that a rehire two years later is stopped by a record rather than by somebody's memory.
What it is for
A five hundred person mill hires continuously and the same names come back. Some of them should. One or two should not, and the reason is usually in a file nobody opens: a theft, a safety offence, a walkout in the middle of a shift.
This screen is where that decision is written down, against the person, with a date and a name attached to it. It matters more than it looks, because the thing it protects against is not malice but turnover in HR. The officer who knows why a man was let go will not be sitting there in two years.
The blacklist works together with the identity card. When a new employee is being created, the history list under the primary identification shows every other record in the group carrying the same identity number, and whether any of them is blacklisted. Nothing on this screen is mandatory, so treat the reason and the detail as compulsory by policy. An entry that says only that somebody is blacklisted is the kind that gets overturned by the first person who asks why.

How to configure it
- Finish the separation first: the termination or resignation, and the Disciplinary Case if there was one.
- Open the screen, create a record and pick the employee.
- Tick Black List and enter the Black List Date.
- Pick the Black List Reason and write the circumstances in Black List Detail, with the disciplinary case reference if there is one.
- Name the person who made the decision in Black List By.
- Save. The entry shows on the employee record, and it will show in the identification history when anybody tries to create a new record for the same identity card.
Scenarios
A man who was dismissed for theft has applied again under a different employee number
He will be caught at the identity card. When the new record is created, the history under the primary identification lists his old record and shows the blacklist against it. That only works if the identity card number was entered on the old record, which is the real reason primary identification matters.
Management has reconsidered and wants to clear the blacklist
Untick Black List and record why in Black List Detail, keeping the original text. Do not delete the entry. The decision to clear a blacklist is as worth recording as the decision to make one.
A man left badly but there was no formal case
Record the entry with an honest reason and a plain description of what happened. An entry with no disciplinary case behind it is weaker, but a written reason with a named decision maker is still a great deal better than nothing.
What it is connected to
- Employee Basic Information carries the same blacklist tick, and its identification history is where a blacklisted rehire is caught.
- Disciplinary Case is usually what preceded the entry, and is where the facts and the procedure live.
- Recruitment Applicant is where a rehire normally appears first. Check the identity card there as well.
If something looks wrong
- "A blacklisted man was rehired anyway" - the new record was created without the primary identification, so the history list had nothing to match on. Make the identity card a mandatory habit at hiring.
- "The entry does not say why" - nothing on this screen is mandatory. Make the reason and the detail a policy requirement.
- "The employee record does not show the blacklist" - the tick on this entry is not set, only the reason has been written.
