Employee Organization Assignment
This screen is what actually places a person in the company. It holds the business unit, the department, the position, the grade, the manager, the employee policy and the salary structure, with the date they took effect. Payroll, attendance and performance all read this record rather than the employee record, so a transfer entered here is a transfer everywhere.
What it is for
An employee record says who a man is. This screen says where he works, and from when. They are deliberately separate, because who he is does not change and where he works changes several times in a career.
Each record is one posting, with a Date From and a Date To. The posting with an empty Date To is the one in force. When you save a new posting, the previous one is closed automatically on the day before the new one starts, so there is never a gap and never an overlap. That chain of dated postings is the person's service history, and it is what makes a mid month transfer payable correctly.
Several other modules read this screen rather than the employee record, and that is why it matters more than its size suggests. Payroll reads the salary structure, the pay cycle through the employee policy, and the cost centre. Attendance reads the attendance policy and the site, again through the employee policy. Performance reads the position, which decides which appraisal form the man fills, and the performance target entity, which decides which appraisal population he belongs to and therefore which cycle and which evaluator chain apply to him. Change the assignment under a live employee and you have changed all of that from the Date From onwards.
Because of that, the screen protects itself. A new posting must start after the latest posting the person already has. On an existing posting, the Date From cannot be moved into a period payroll has already run. A posting that payroll has touched is read only when you open it, as is any posting that has already been closed. And only the most recent posting can be deleted, because deleting an earlier one would leave a hole in the chain.
Pick the employee and the whole of his current posting is copied onto the new record for you: position, grade, site, business area, business unit, functional area, department, budget area, station, category, policy, salary structure, work from home, the reporting line and the financial dimensions. Only the Date From is left for you to type. Change the one or two things that are actually changing, and save. If the man has no posting at all, only the Date From is filled, with his joining date.

How to configure it
- The first posting is made for you when the employee is created, so do not create one by hand for a new joiner. Open this screen only when something about the posting changes.
- Create a new record and pick the Employee. His current posting is copied in.
- Enter the Date From: the day the new posting actually takes effect, not the day you are typing. For a promotion effective the first of the month, put the first of the month.
- Leave Date To empty. The previous posting is closed for you on the day before your Date From.
- Change only what is changing. A promotion normally means a new Position, which brings its own Category and Grade, and often a new Salary Structure. A transfer normally means a new Department, Site and Station. A policy change means only the Employee Policy.
- Write the reason in Notes.
- Save. From the Date From onwards, payroll, attendance and performance all see the new posting.
Scenarios
A spinning operator is promoted to shift supervisor from the first of April
One new record, Date From the first of April, with the new Position. The grade and category come with the position, and you change the Salary Structure if the new grade uses a different one. The old posting closes on the thirty first of March by itself. March payroll pays him as an operator, April pays him as a supervisor, and nobody has to split anything by hand.
We are moving thirty people from the Faisalabad plant to the new Sheikhupura plant
One record per person, same Date From, with the new Site, Station and Department, and the Employee Policy changed if the new plant has a different attendance policy or calendar. Do this before the attendance for that month is processed, because attendance reads the policy and the site on the posting in force for the day.
HR typed the wrong effective date and payroll has already run
The date cannot be corrected. The screen refuses to move a Date From across a period payroll has processed, and says so, and the posting payroll touched opens read only. Close the wrong posting, raise a fresh posting from the right date, and let payroll correct the money through an additional payment or deduction. See Employee Additional Payment Or Deduction.
The same man appears twice in the attendance list for one day
Two postings cover the same day. A new posting left open while an older one was also open gives the man two live assignments, which doubles his attendance and his payroll hours. That is why a new posting must start strictly after the last one, and the message tells you the earliest date it will accept.
The appraisal population is wrong for a man we transferred
The appraisal population is bound on the posting, not on the employee. Look at the posting in force on the day the cycle was activated: the performance target entity on it is what put him in that population. A posting dated after the cycle was activated does not move him, because the cycle freezes its chain when it is activated. See Performance Target Entity.
What it is connected to
- Employee Basic Information must exist first, and the first posting is created from it. Saving a posting also copies its organization fields back onto the employee record, so the employee screen always shows the current posting.
- Employee Policy Profile supplies the attendance policy, leave group, pay cycle, pay rate, tax zone, calendar and overtime policy.
- Salary Structure builds the pay. Its accounting lines are checked for complete financial dimensions when you save.
- Payroll, Post Payroll, Employee Overtime, Process Overtime, Recurring Payments and Deductions and Employee Additional Payment Or Deduction all read the posting in force for the period.
- Employee Attandance, Employee Attendance Request and Payroll Attendance read the posting for the day.
- Performance Target Entity, Employee Goal and Calibration read the posting to decide which appraisal population and which form apply.
- A posting payroll has referred to cannot be deleted, and only the most recent posting can be deleted at all.
If something looks wrong
- "It says the assignment must start after a date in the past" - the person already has a posting starting on or after the date you typed. A new posting has to start strictly later, otherwise the two overlap and his attendance and payroll hours double.
- "It will not let me change the effective date" - payroll has already been processed inside the old date range. Raise a new posting instead and correct the money through payroll.
- "All the buttons are greyed out when I open a posting" - that posting has been referred to by payroll, or it has a Date To and is therefore closed. Closed and paid postings are history and are not edited.
- "It says the salary structure has a problem with accounts" - one of the accounting lines on the salary structure you chose is missing a financial dimension it requires. Fix the structure, not this screen.
- "I cannot delete the assignment" - either payroll has used it, or it is not the latest one. Earlier postings cannot be removed from the middle of the chain.
- "It says the employee policy cannot be empty" - a posting without a policy has no attendance rules, no leave group and no pay cycle, so it is refused.
