Budget Area Period
A budget area period is a named window with the approved numbers written on it: FY 2025-26, one July to thirty June, 204 heads at 186 million rupees. It is the envelope the year is planned inside, so a plan can be read against the figure that was approved.
What it is for
Headcount budgets are annual. Without a period record a plan is a number with no year attached, and two years of plans cannot be told apart.
This screen creates the window. It has a code, a name, a date range and a pair of approved totals, a value and a quantity. The totals are the figure you were given to work inside, so the detail entered on Position Planning can be read against what was approved.
It is a short screen and it should be a short conversation: one record per budget year per company, created at the start of the year.

Value and Quantity are the approved figures written down for comparison. Nothing outside this screen recalculates them and nothing checks a plan against them automatically, so the comparison with Position Planning is made by reading both, or by a report.
How to configure it
- Create your Legal Entities first.
- Open Budget Area Period and pick the Legal Entity.
- Enter the code and name for the year, for example
FY2526andFinancial Year 2025-26. - Enter Date From and Date To to match the client's financial year.
- Enter the approved Value in rupees and the approved Quantity of heads.
- Save. Repeat per legal entity, then enter the job level detail on Position Planning.
Scenarios
Our budget is approved half yearly
Create two records, one for July to December and one for January to June, each with its own approved value and quantity. The screen does not mind a six month window.
The board revised the headcount budget in November
If the revision replaces the original figure, change the Value and Quantity on the existing record. If the client needs to see both what was first approved and what it became, block the original and create a revised window dated from the revision. Which one you choose depends on whether the first figure has to stay on the record.
What it is connected to
- Needs Legal Entity to exist first.
- It is the window that Position Planning lines are read against. The planning screen holds its own dates, so the two are compared by reading them rather than by a link the system enforces.
- Nothing outside this screen reads the Value and Quantity. They are the approved figure held on the record.
- It is a separate list from Position Budget Area. The area is the pot, the period is the window.
If something looks wrong
- "The value we typed is not being checked against the plans" - as designed. The totals here are recorded for comparison, not enforced.
- "Two periods cover the same dates" - nothing stops it and nothing wants it. Block the one you no longer use.
