Station
A station is a named place somebody is posted to: Korangi Plant, Head Office, Lahore Depot. You list the places here, and the employee record then says which one each person works at.
What it is for
People work in places, and the place is not the same thing as the department or the company. The Production department has staff at the plant and one coordinator at head office. Both are in the same department and the same legal entity, and they turn up at different gates.
Station is that place. It is a flat list of two fields, and it earns its keep in two ways: the employee record carries it, so reports can be read per site, and an attendance request can name the station the person was actually at.
Keep the list to real places with a gate. A station per floor or per production line is more detail than the screen can usefully carry.
Every field, in plain words
Station
| Field | What it means | What to put in it | Notes |
|---|---|---|---|
| Station | The short code for the place. | KHI-PLANT | Required. Must be unique. |
| Station Name | The place written out. | Korangi Plant | Required. This is what appears on the employee record and in lookups. Translations are kept per language. |
Two fields. The screen does not hold an address, a city or a calendar, those belong to the organisation and location screens in Organization and Setup.
How to configure it
- List the client's physical places of work. A manufacturer usually has between two and six.
- Create one record each, for example
KHI-PLANT/Korangi Plant,KHI-HO/Head Office Karachi,LHR-DEPOT/Lahore Depot. - Save. The station is then available when employees are created and when attendance requests are raised.
Scenarios
Half our office staff now work from home two days a week
Do not create a station for home. The station is the posting, and a hybrid worker is still posted to the office. Where somebody physically punched in is an attendance question, answered by the attendance and geofencing screens in Time Management.
We moved the depot from Lahore to Sheikhupura
Create the new station and move the affected employees onto it on their records. Keep the old station, because last year's reports are grouped by it.
What it is connected to
- Nothing has to exist before this screen.
- Employee Basic Information and Employee Organization Assignment carry the station on the employee record.
- Employee Attendance Request can name the station a punch relates to.
- Nothing else reads it. It is a reporting and posting label, not a driver of pay or attendance rules. Working hours come from the time and attendance setup, not from the station.
If something looks wrong
- "The station list is empty on the employee record" - no stations have been created yet.
- "It will not save, it says the station already exists" - the code is in use. Station codes must be unique.
