Certification Group
A certification group is a family: Safety, Quality, Technical, Professional. It exists so that the certification list stays readable once there are sixty entries in it, and so a report can ask about all safety certifications at once.
What it is for
Certifications multiply. A manufacturer holds forklift licences, first aid certificates, internal auditor qualifications, welding tickets, boiler operator permits and a handful of professional memberships. Without a grouping, that is one long alphabetical list, and the question "are all our safety certifications current" cannot be asked.
Four to eight groups is the right size. The group's only job is to make the certification list navigable and reportable.
One list, two doors. This screen and the Certification Group screen in Organization and Setup maintain the same list. Whichever you open, you are editing the same groups, and a group created in one appears in the other. Do not create the same group twice because it appears to be missing, check the other screen first.
Every field, in plain words
Certification Group
| Field | What it means | What to put in it | Notes |
|---|---|---|---|
| Certification Group | The short code for the family. | SAFETY | Required. Must be unique. |
| Name | The family written out. | Health and Safety | Required. Translations are kept per language. |
| Block | Retires a group. | Leave clear. | Ticking it stops the group being offered on new certifications. |
How to configure it
- Check whether groups already exist, since the same list is reachable from Organization and Setup.
- Create the families the client's certifications fall into, for example
SAFETY/Health and Safety,QUALITY/Quality and Audit,TECH/Technical and Trade,PROF/Professional Membership. - Save, then create the certifications themselves on Certification and set the group on each.
Scenario
We want to know whether every safety certification in the plant is current
Group them all under one safety group here, set the renewal rules on each certification, and the question becomes a report over that group rather than a list somebody reads by eye.
What it is connected to
- Nothing has to exist before this screen.
- Certification names a group on each certification.
- The same list is maintained by the Certification Group screen in Organization and Setup. It is one list reached two ways.
If something looks wrong
- "A group we created is not in the list" - check whether it was blocked, and check the Certification Group screen in Organization and Setup, which maintains the same list.
- "It will not save, it says the group already exists" - the code is in use, possibly created from the other screen.
