Position Task
A position task is a named set of duties, with a list of the jobs and levels it belongs to. Create Line Supervision once, then list every position and grade that carries it. It is the job description written as a record HR can read and reuse, rather than a document nobody can find.
What it is for
Duties repeat across jobs. Checking a machine log, signing a gate pass, counting a shift handover. Writing them out again inside every job description is how job descriptions end up contradicting each other.
This screen inverts it. You name the duty once as a task, then list the positions and grades it attaches to. Supervising a line is one task, and it attaches to Production Supervisor at grade 7, Shift Supervisor at grade 7 and Senior Production Supervisor at grade 8. Change the wording in one place and every job carrying it reads the new wording.
Be honest with a client about the scope. It is a catalogue of duties and the jobs they belong to, held in HR so it is findable and consistent. It does not drive appraisal scoring, it does not drive training, and it does not appear in payroll. Appraisal content lives on the Evaluation Template attached to the position. If the client's real ask is to appraise people on their duties, the duties have to be entered as appraisal content there, not here.
Every field, in plain words
Header
| Field | What it means | What to put in it | Notes |
|---|---|---|---|
| Position Task | The short code for the duty. | LINESUP | Required. Must be unique. |
| Name | The duty written out as HR would say it. | Line Supervision and Shift Handover | Required. This is the text people read. Translations are kept per language. |
| Block | Retires a task that no longer applies. | Leave clear. | Ticking it stops the task being offered on new records and keeps what is already recorded. |
Lines - which jobs carry this task
| Field | What it means | What to put in it | Notes |
|---|---|---|---|
| Line # | The line number. | Fills itself. Leave it. | |
| Legal Entity | The company the duty applies in. | KHI-MFG - Korangi Manufacturing | Required. Pick it from the list. |
| Position | The job that carries this duty. | PRDSUP - Production Supervisor | Required. Pick it from the list. |
| Position Grade | The level at which the job carries it. | G07 - Grade 7 Supervisory | Required. Pick it from the list. A duty that only starts at the senior grade gets only the senior line. |
How to configure it
- Finish Position and Position Grade first.
- Collect the client's existing job descriptions and mark the duties that appear in more than one. Those are your tasks. The ones that appear once can wait.
- Create the task. Code
LINESUP, nameLine Supervision and Shift Handover. - Add one line per job and level that carries the duty, picking the legal entity, the position and the grade on each line.
- Save, and repeat for the next shared duty.
- Stop when the shared duties are covered. A task per sentence of every job description is work with no reader.
Scenarios
We want a proper job description per position
Build it as several tasks and attach each to the positions that carry it. The job description is then the set of tasks whose lines name that position, which means a duty written once is correct everywhere.
The same job has extra duties at the senior grade
That is what the grade on the line is for. The shared duties get lines at both grades. The extra duty becomes its own task with a line only at the senior grade.
Will this feed the appraisal
No. Appraisal content comes from the Evaluation Template named on the Position. If duties must be scored, they have to be entered there.
What it is connected to
- Needs Legal Entity, Position and Position Grade to exist first.
- Nothing outside this screen reads the lines. It is a reference catalogue held in HR, not an input to a calculation.
- Blocking a task or removing a line changes nothing elsewhere in the product.
If something looks wrong
- "The position lookup on the line is empty" - no positions exist yet, or they are all blocked.
- "It will not save the line" - the legal entity, the position and the grade are all required on a line.
- "The duties are not showing up in the appraisal" - as designed. Appraisal content is on the Evaluation Template, not here.
