Facility Group

A facility group is a heading for the things a company issues to its people: lockers, bicycles, laptops, SIMs, hostel rooms. Create the groups first, then every facility belongs to one, and the lists HR picks from stay short.

What it is for​

A five hundred person mill issues a lot of small things, and once there are four hundred lockers and sixty bicycles on one list nobody can find anything. A facility group is the heading that breaks that list up.

It is a short screen and there is nothing to it beyond a code and a name. Keep the groups to the kinds of thing the client issues, not to the departments that issue them: lockers, protective equipment, transport, IT devices, accommodation. Six or eight groups is usually enough.

Once the groups exist, each facility is created under one of them on Facility, and facilities are issued to people on the Facilities tab of Employee Basic Information and recovered on Employee Clearance.

How to configure it​

  1. List the kinds of thing the client issues to employees. Group by the kind of thing, not by the department that holds it.
  2. Create one record per group, with a code and a name.
  3. Create the facilities themselves under the groups on Facility.
  4. Issue them to people on the Facilities tab of Employee Basic Information, and recover them on the Company Assets line of Employee Clearance when somebody leaves.

Scenarios​

Four hundred lockers and nobody can find the right one​

One group for lockers, and the lockers created under it with codes that carry the number. HR then picks from one short list instead of scrolling through everything the company owns.

What it is connected to​

  • Facility is where the individual facilities are created, each under a group.
  • Employee Basic Information issues a facility to a person on its Facilities tab, and the same facility cannot be issued to two people over overlapping dates.
  • Employee Clearance is where company assets are recovered when somebody leaves.
  • Employee Profile Setting is the module wide settings screen, which is a different thing entirely.

If something looks wrong​

  • "It will not save" - the group code is empty. It is the only required field.
  • "The facility list is still one long list" - the facilities were created without a group. Set the group on each one.
